Privacy Policy
This Privacy Policy explains how Dios Azul Tequila LLC, a Wyoming limited liability company (“Company,” “we,” “us,” or “our”), collects, uses, shares, retains, and protects personal information in connection with the Dios Azul Sales Reports & CRM application and its related websites, features, and integrations (collectively, the “Application”). The Application is a private business application used by our authorized personnel and business partners to manage sales reporting, customer relationships, orders, inventory, expenses, and related operations. This Policy is incorporated into and supplements our End-User License Agreement.
Who We Are and How to Reach Us
Dios Azul Tequila LLC is the controller responsible for personal information processed through the Application. For any privacy question, request, or complaint, contact us at legal@diosazul.com (Attn: Legal).
Information We Collect
2.1 Information you provide to us.
- User account and profile data: name, email address, password (stored only in hashed form), assigned role and permissions, phone number, gender, city, ZIP, territory/state, time zone, and preferences.
- Certification data: Responsible Beverage Service (RBS) certification status, expiration dates, and uploaded certificate copies for personnel and pour models.
- Business and CRM records: retailer and distributor account details, business contacts (name, title, phone, email), addresses, visit logs, notes, orders, expenses (including uploaded receipts), photographs, calendar appointments and events, and pour-model roster details for external individuals (name, email, phone, location, notes).
- Support and communications: information you submit when you report a problem or otherwise contact us.
2.2 Information we collect automatically.
- Log and security data: IP address, browser/user-agent, and timestamps recorded in our audit, notification, and system logs for security, troubleshooting, and accountability.
- Session cookie: a single, strictly necessary cookie used to keep you signed in. We do not use third-party advertising or cross-site tracking cookies.
- Approximate location (geocoding): when addresses (for accounts, users, pour models, or warehouses) are saved, we convert them to map coordinates using a geocoding service.
2.3 Information from connected integrations.
When an administrator connects a third-party service such as QuickBooks Online or a calendar provider, we exchange the data described in Sections 4 and 5 to provide the connected feature.
How We Use Information
- to provide, operate, secure, and improve the Application and its features;
- to authenticate users, manage roles and access, and prevent unauthorized use;
- to record sales, orders, inventory, expenses, and reporting, and to generate exports and analytics for internal business purposes;
- to send transactional and operational emails (for example, reminders, notifications, and invitations);
- to enable integrations you turn on, including synchronizing data with QuickBooks Online and pushing calendar events to connected calendars;
- to maintain audit trails and comply with legal, tax, and regulatory obligations; and
- to investigate and address security incidents, misuse, and support requests.
QuickBooks Online Data Flow
The Application offers an optional integration with QuickBooks Online (“QuickBooks”), a product of Intuit Inc. (“Intuit”). The integration is active only after an authorized administrator connects a QuickBooks company through Intuit’s secure authorization (OAuth) process. When it is connected:
- Data we send to QuickBooks: customer records (business name, billing address, contact email, and tax-exemption status), estimates and invoices (including purchase-order and reference numbers, line items, and amounts), and product, item, and inventory-quantity information.
- Data we receive from QuickBooks: identifiers for the records above and their status (for example, invoice delivery status and payment or balance status), so the Application can reflect the current state of an order.
- Authorization tokens: we store the access and refresh tokens that permit this exchange in encrypted form; we do not receive or store your Intuit login password.
Your use of QuickBooks is governed by your own agreement with Intuit and by Intuit’s privacy statement, which apply to how Intuit handles data on its side. The Company is independent of, and not endorsed or sponsored by, Intuit. An administrator may disconnect the integration at any time, after which we stop exchanging new data with QuickBooks; records already exchanged remain in each system under that system’s own retention practices.
How We Share Information
We do not sell personal information and we do not share it for cross-context behavioral advertising. We share information only as follows:
- Service providers (subprocessors) that process data on our behalf, under contract and only to provide their service. Representative providers are listed below.
- At your direction, such as when you connect QuickBooks or a calendar provider.
- Legal and safety — when required by law, subpoena, or legal process, or to protect the rights, property, or safety of the Company, our users, or others.
- Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.

Cookies and Similar Technologies
The Application uses one strictly necessary session cookie to authenticate signed-in users and protect against cross-site request forgery. It is required for the Application to function and cannot be disabled while you use the Application. We do not use analytics, advertising, or third-party tracking cookies.
Data Retention
We keep personal information for as long as needed to provide the Application, operate the business relationship, and meet our legal, tax, and accounting obligations, after which we delete or anonymize it. Specific automated retention periods include:
- System/error logs: 90 days (configurable).
- Audit logs and email-notification logs: 365 days (configurable).
- Deleted-record recovery (recycle bin): 180 days.
- Deleted files in storage (trash): 30 days.
- Database backups: 14 days.
- Sign-in sessions: expire after a configured period of use (a few hours by default).
Business records such as accounts, orders, and expenses are retained for the life of the business relationship and as required for recordkeeping; records exchanged with QuickBooks are also retained within QuickBooks under Intuit’s practices.
Data Security
We apply reasonable administrative, technical, and organizational safeguards designed to protect personal information, including: encryption of data in transit over HTTPS/TLS; encryption at rest of sensitive credentials such as integration tokens; one-way hashing of passwords; role-based access controls with periodic re-verification of active sessions; cross-site request forgery protection and rate limiting; access to uploaded files through short-lived, signed links; audit logging of sensitive actions; and routine database backups. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Your Choices and Rights
Depending on your relationship with us and applicable law, you may have the right to access, correct, update, or request deletion of personal information about you, to object to or restrict certain processing, and to obtain a copy of certain information. You may exercise these rights, or ask a question about them, by contacting legal@diosazul.com. We will verify your request and respond as required by applicable law. Authorized administrators can also view, correct, and delete much of this information directly within the Application.
California residents.
If you are a California resident, you may have rights under the California Consumer Privacy Act, as amended, including the rights to know, delete, and correct personal information and to be free from discrimination for exercising those rights. We do not sell or share personal information as those terms are defined under California law. To exercise a right, contact us at the address above.
Data Location and International Users
The Application is operated and hosted in the United States. If you access it from outside the United States, you understand that your information will be processed in the United States, where data-protection laws may differ from those in your location.
Children’s Privacy
The Application is a business tool intended for adults and is not directed to children. We do not knowingly collect personal information from children.
Third-Party Services
The Application connects with third-party services, including QuickBooks Online and calendar providers. Those services are operated by others under their own privacy policies, and this Policy does not govern their practices. We encourage you to review the privacy policies of any service you connect.
Changes to This Policy
We may update this Policy from time to time. When we do, we will post the updated Policy at the same location and revise the “Last updated” date above. Your continued use of the Application after an update takes effect constitutes acceptance of the updated Policy.
